The Director of Planning & Design will be responsible for the planning and design phases of capital projects in their assigned Division. This role will partner with the construction team to manage projects from conception through design development, then will support project leadership from construction documents through occupancy. This role reports to the Sr. Director of Planning & Design, and partners with Strategy & Business Development Leadership, Operators, clinical leaders, and other RESO teams to drive innovative and sustainable design standards for Providence care environments. The Director of Planning & Design will lead and mentor the Managers of Planning & Design in their market.

This will be a highly visible position that will work closely with Divisional Leadership along with other platforms within RESO, including construction, environmental stewardship, operations, and finance. Specifically, the Director of Planning & Design will effectively partner with the Strategy & Business Development teams to plan for and realize the built environment needs to successfully advance the Division’s strategic initiatives.

The Director of Planning & Design is responsible for both the continued development of and the projects’ adherence to Providence’s planning, design, and technical standards. They will manage the relationship with consultants and vendors needed to support the master planning, space planning, and design phases of project lifecycles. This role and the team they lead will ensure projects stay on schedule and on budget and that deliverables outlined in the engagement are adequately met. Additionally, they have responsibility for managing vendor and consultant relationships for all system-wide initiatives requiring architectural or other related engagements.

ESSENTIAL FUNCTIONS

  • In partnership with senior leadership, the Director of Planning & Design is responsible for the development of market and site-specific planning strategies at select Ministries. This will involve both master planning and capital projects within their assigned Division.

  • Establishment of and alignment to the programmatic scope of the project, as well as the space and functional planning in response to that scope.

  • Develops and leads a multidisciplinary approach to ensure that project sponsors, project managers, and vendors obtain appropriate input from all stakeholders.

  • The position is a liaison between internal stakeholders and the architectural design firm and associated consultants. The organization/ management of meetings with stakeholder groups is a primary responsibility, which includes establishing the rhythm of usergroup meetings and design charettes (as needed) as well as managing key gateway/phase signoffs

  • Clear communication with and synergistic working relationship with the Construction Lead/ Project Manager. Supports the Construction team in ensuring Project Programs, Designs, Budgets, and Schedules are inclusive of all elements required for a complete project.

  • Documentation of key decisions using the tools established by the project (for example: Excel, SharePoint, eBuilder)

  • Management of/ providing clear direction to other team members reporting to the Director of Planning & Design, including the Manager of Planning & Design and those working in supportive project management roles

  • Accountable for providing continuous feedback to executive sponsors, senior leadership, and others regarding project status, including programming, design, sustainability adherence, and schedule and budget updates.

  • Management of third-party design partners, including: the architectural team and associated consultants, furniture dealerships, medical equipment planners, and art consultants. Management of vendor contracts and experience issuing RFPs and managing architectural firm interviews and selection is preferred. Establishment of clear scopes and vendor performance that is consistent with the agreed upon scope is critical.

  • Commitment to project visioning and documentation (at each phase) of key project data within the Project Charter

  • Commitment to the project’s manifestation of Providence’s planning, design, and technical standards. Confidence in “the spirit of the guideline” and ability to make an informed judgment call if the standard is unclear, incomplete, or more information is required to enact it

  • Collection and validation of a project’s current state data, working in close collaboration with the project’s Institutional planner, strategy, and real estate teams

  • Management of a project’s documentation of Entitlement Strategy, as led by the Providence Land Use Planner and the Architectural Firm. This includes supporting the team in any pre-application meetings, land use applications, zoning changes, and traffic entitlements that need to occur and escalating decisions to other Providence departments as needed.

  • Responsible for developing and maintaining relationships with authorities having jurisdiction

  • Perform all duties in a manner that promotes team success and reflects the Providence Health & Services' Mission, philosophy, and Core Values.

QUALIFICATIONS

  • Master’s Degree in Architecture, Business or Healthcare Administration or equivalent education/experience

  • Architectural license, MArch, and EDAC credentials (preferred)

  • 8 years of experience in architecture and design, a portion of which has been in the healthcare industry

  • 6 years of management or applicable leadership experience.

  • 2 years Healthcare experience

  • 2 years HCAI experience

  • Excellent organizational skills: as Providence is moving towards data-driven decision-making and accountability throughout the design and construction process, the candidate should have a commitment to clear, disciplined communication, including the management and maintenance of decision logs, meeting minutes, tracking of action items, and regular report outs to all stakeholders. This role will also be accountable for organizing stakeholder meetings during schematic and design development, managing the partnership with the architectural design firm and associated consultants, and ensuring that the project documents are adhering to Providence planning, design, and technical standards.

  • A proactive personality: this is a leadership role within a growing planning and design team. Without compromising a collaborative spirit, the ideal candidate will actively seek out information necessary to answer questions and doesn’t wait to be told what to do. The Director of Planning and Design should be committed to helping forge the vision of how the team will work together. This role will benefit from a love of learning, curiosity of how roles within the Providence system interact, support each other, and make decisions, and a commitment to moving a project forward on time and on budget.

  • Creative problem-solving skills: the candidate should excel at negotiating solutions to complex problems to further the goals of the organization.

  • Medical Planning background: the role will be a liaison between internal project stakeholders and the external architectural design team. The candidate should be familiar with both acute and ambulatory planning and design best practices and be able to bring this knowledge, along with a curious mind and empathetic disposition, to the stakeholder meetings. Ideally, this person builds trust with each stakeholder group, seeks to validate any internal data required to investigate stakeholder requests, and communicates decisions to both internal and external stakeholders in a timely manner.

  • Project Management skills

  • HCAI/OSHPD experience: the ideal candidate will have experience with both OSHPD 1, 3, and 5 projects, as well as experience with seismic upgrades and retrofits.

  • Passion for mentorship/ ability to inspire and develop staff: the ideal candidate has a passion for mentorship. If a Design Manager is reporting to the candidate as part of the project’s organizational structure, it should be viewed as an opportunity to impart planning and design experience and passion for holistically designed healthcare environments to the project’s direct reports.

  • Commitment to operational improvement: the Director of Planning and Design understands that decisions made during planning will empower or impede the care team to deliver world-class healthcare. The ideal candidate is always looking for opportunities to make flows of staff, patients, and materials more efficient throughout a healthcare facility without compromising the positive experience of the space.

  • Commitment to internal process improvement: the ideal candidate has a passion for the development of standards and guidelines aimed at achieving operational improvement and a consistent brand experience, while still allowing for flexibility systemwide.

  • Familiarity with Lean Methodology : Providence is incorporating Lean methodology into the project decision-making process, such as Choosing by Advantage and the generation of A3’s.

  • Keeping sustainability top of mind: the ideal candidate grasps how early design decisions can greatly impact the sustainability of a building and is committed to achieving Providence’s net zero by 2030 goals.

  • Ability to be on site as needed: this role will be hybrid—able to work from home part of the time, but the willingness to travel to on-site project meetings as needed. The need will be project-specific and will be determined by the team.
